Stakeholders
A Change Management project is a group effort. To make sure that your organization adapts well to Beekeeper, it is important to involve various stakeholders. We recommend the following:
Core Project Team
The Executive Sponsor is responsible for the acceptance and participation from the management team of your organization. They support the project management team in defining the strategy and act as an influencer for the project.
The Project Lead is the Beekeeper expert and has certain decision-making powers within your organization. The project lead will take charge of the Beekeeper implementation project and is responsible for the organization and coordination. They will involve other stakeholders and champions as needed.
The Platform Specialist is intensively trained in the admin area of the platform and is able to manage and administrative components of the platform like automation and permissions. They will set up the platform and maintain it after the rollout. In some cases this is the same person as the project lead.
The IT-Specialist is required when integrating Beekeeper with other technology systems that automate user management. This can be done via SFTP synchronization or authentication via SAML-based SSO.
The Communication Specialist contributes to the development of the content strategy and structure. They control the content calendar and take responsibility for the announcement of the app and rollout communication. If necessary, this person also makes sure that all content appears in your corporate design.
The HR-Specialist participates in user management and provides the necessary employee data. They will take responsibility for the Beekeeper and on/offboarding as well as other HR processes and communication.
The Operations Specialist identifies and implements operational use cases on Beekeeper to optimize workflows and processes and facilitate the daily work of employees.
Other Stakeholders
Upper Management should be kept informed about the Beekeeper project implementation and, if necessary, make certain strategic decisions.
The Location, Division, and Department Heads should be informed about Beekeeper. They should be shown how to use Beekeeper to support their Leadership communication and be trained on the possible admin rights they may have in the platform to support the app rollout.
Team Leaders should be informed about Beekeeper. They should be shown how to use Beekeeper to support their Leadership communication and trained on their possible admin rights. They should be instructed on how to support their staff in downloading the Beekeeper app, logging in and responding to staff concerns.
Representatives from different areas, departments, functions and hierarchical levels get to know the product at a workshop where you brainstorm use cases for Beekeeper and give input to the core project team regarding their department-specific challenges, communication and digitization needs, as well as the goals for the rollout.
All the stakeholders mentioned above can and should be Champions. However, the circle of champions should be expanded to include other people (especially frontline workers). The champions enter the platform a few weeks before the other employees. They are responsible for adding relevant and interesting content, exemplifying the desired communication culture, giving feedback, and supporting the rollout.
